I watched this great video last week and it has transformed my email management. Over recent years I have got into a bad habit of checking my emails for urgent stuff and then eventually getting round to actioning them at some point in the (sometimes distant!) future. It all started when I had a three hour round trip commute by train to London, so I would deal with urgent stuff in the office but leave most of the emails to be dealt with on the train journey. It doesn’t work so well now I work from home!

I saw this video and now I only press send/receive when I have a bit of time to actually action my emails (whether that be deleting them, doing whatever is required now including responding to them, or adding them onto my task list for a future, more appropriate time). As a result my inbox has been clear for a week and people are getting much quicker responses from me.

I have been meaning to post about this for ages and every time I meet my friend, Graham West, from www.grahamwestharpist.co.uk he reminds me that I need to do this; so here I am using the quiet time between Christmas and New Year to finally get it done!

Over the years I have used various back up services to ensure that I don’t lose my important PC files and I have to say that on at least two scary occasions I had to use my back ups so I can’t stress enough how important it is to get a great back up programme in place, especially if you are running a business.  Over the years I have used an online service, that was great but really expensive as with a lot of graphic files I have need a hefty amount of back up space.  More recently I’ve been using a separate hard drive connected to my computer, but that would obviously not be much use if my office burnt down – added to which, I was doing a manual back up every day, which was a complete pain!

We need assistance managing that information, sorting through it so we can discern the pieces that are most relevant, and then, finally, implementing. Here are three techniques that have really helped me cut through the procrastination and implement.

SomeTHING Instead Of SomeDAY

Up until a few years ago, whenever I got new ideas that would help me grow my business, I would invariably put it on my ’someday’ list. ‘Oh yeah, that’s I good idea. I’m going to do that- someday’. And then I’d wait until I got a clear couple of days or weeks, or whatever pressing project I was working on had passed by. I’m sure you can guess where I’m going with this – ’someday’ never came around. So I ended up with a list of great ideas, but no concrete results. Sound familiar? So one change I’ve made is now, whenever I get a new idea, is to do ’someTHING’ immediately to get the ball rolling. The key is to identify one action I can take right away that will get me started – sometimes it’s a simple as sending an email or making one phone call. That gets the momentum going – and

What Do You Need To Let Go Of To Implement This New Thing?

If your life is already full with what you are currently doing, then if you’re going to take on one new project, it makes sense that you need to let something go. Scrutinise how you’re currently spending your time – are there things that you could delegate (like book-keeping, diary management, making your travel arrangements) – or perhaps there are things which you are doing but are NOT contributing to your results – like attending the local networking which may have been a great source of support and contacts when you first started your business, but that you have now outgrown. No one can make these decisions for you. But if you’re totally honest with yourself, you know it’s time to let go of certain activities, so that you have the space in your calendar and the energy to implement your new idea.

Ask Yourself – What Are You Waiting For?

Are you waiting for conditions to be perfect before you can get started? The fact is conditions will NEVER be perfect. You need to start from where you are. Whatever destination you are dreaming of, there is a perfect journey for YOU that takes you from precisely where you are, with all that you have RIGHT NOW, to wherever you want to go. Yet many people don’t see that because they are wishing for a different set of circumstances. ‘I wish I had started sooner, could start later, had left school at 16, had gone to University etc, etc’ Wishing for a different starting point is not only not helping you, it is actually deterring you from seeing the open door which is immediately in front of you.

Don’t keep busy working on projects that don’t fully reward or satisfy you, while putting off starting the very thing that would delight and thrill you? It’s Your Life. Your Business. Your Choice.

So implement!

My good friend and start up business coach, Jill Tipping, has posted on her blog today about visualisations and how they can help us to achieve our goals.  I wholeheartedly agree and I have a goals board next to my wall planner that I try and use every day to help me to really visualise the things that I’m trying to make happen.

I have recently put together a Mind Movie, which does the same job but in a ‘much-easier-to-fit-into-your-life’ sort of way.  The Mind Movies team provide software to enable you to create your own movie, which you can play on your PC, phone etc any time you like (at least a two or three times a day is best); then there is an ongoing programme where you can download software to your computer to enable you to play your Mind Movie faintly in the background whilst you are working, to ‘train’ your subconscious.  Even though I was really excited about doing my Mind Movie It took me a few weeks to do it as you have to find about 100 pictures to go with your affirmations, but there are pre-done movie available for you to use in the meantime that should be useful, if not specifically tailored to you.
